Designing & Delivering a Group Trip to Costa Rica

Planning and executing an end-to-end international group travel experience while balancing budget, logistics, vendors, marketing and guest experience.

The challenge

Create a memorable experience without losing control of the budget.

This was my first time producing a group trip, and I was managing it independently. Every addition that improved the guest experience also affected pricing, so I had to continually balance experience quality, affordability and project viability.

My role

Own the entire experience from concept to delivery.

I developed the itinerary, sourced vendors, managed accommodations and transportation, coordinated a private chef and videographer, handled budgets and payment plans, created traveler resources and legal forms, marketed the trip and managed guest communication.

What I managed

  1. 01ItineraryBuilt the experience and refined activities around cost and flow.
  2. 02VendorsCoordinated transportation, activities, lodging, chef and videography.
  3. 03BudgetManaged pricing, payment plans, quotes and project costs.
  4. 04GuestsCreated packing resources, handled forms and managed communication.
  5. 05MarketingPromoted the trip while continuing to refine the operational details.

How the project came together

Step 1

Design itinerary

Define the guest experience

Step 2

Source & price

Collect quotes and test affordability

Step 3

Sell & refine

Market while finalizing details

Step 4

Coordinate

Manage guests, vendors and logistics

Step 5

Deliver

Execute the live travel experience

Outcome

A successful first launch.

The trip was delivered successfully, remained within budget and generated a small profit. Guests had a positive experience that balanced adventure and downtime, with several participants trying new experiences and pushing beyond their comfort zones.

Reflection

“I learned to weigh experience quality against cost more deliberately and to make tradeoffs earlier instead of trying to maximize everything at once.”
